Import candidates — overview
Pick the right import path for your source — LinkedIn URLs, CV files, or a spreadsheet exported from your ATS.
Import candidates
Every candidate in Shortlistr lives inside a role. Open a role and use the Import panel to add them. There are three tabs — pick the one that matches your source.
Which tab should I use?
| Source | Use this tab |
|---|---|
| One or many LinkedIn profile URLs | LinkedIn URLs |
| PDF / DOCX resumes you already have on disk | CV upload |
| Spreadsheet exported from Greenhouse, Lever, Ashby, LinkedIn Recruiter, SeekOut, Gem, or any tool | Spreadsheet |
All three land in the same candidate record, so you can mix sources for the same role.
Limits at a glance
- LinkedIn URLs — up to 50 URLs per batch.
- CV upload — PDF or DOCX, up to 25 files per batch.
- Spreadsheet —
.xlsx,.xls,.csv, or.tsv, up to 10 MB / 2,000 rows.
Deduplication
When two imports describe the same person, Shortlistr merges them into one record. Matching is done in this order:
- Email (case-insensitive, exact match)
- LinkedIn slug (the part after
linkedin.com/in/)
If neither matches, a new candidate is created. We never silently overwrite a field you've already edited.
